Microsoft applications are crucial to complete essential tasks throughout school, work, and everyday life. Without some of these functions, one’s life could be difficult and time consuming. Automation, websites, programming, accounts, and much more use applications like database, word, and spreadsheets to function. These tools allow companies to be successful and efficient with their work and data. I intend to share why Microsoft word, Sheets, PowerPoint, and Database are important and how they differ from one another.
Word processor is one of the most widely used applications for developing a word document. For example, essays, emails, resumes, and much more are typically used in a word processor application. It is useful because it will keep a word count, auto correct spelling, suggest grammar recommendations, and the user can outline it how they please. Spreadsheet is an extremely useful tool that is used by many. Excel can be used for budgeting, analysis, forecasting, reporting, and much more. A popular favorite with excel is developing a budget sheet that keeps up with budgetary items like grocery shopping, gas, mortgage, and gym membership against someone's budget. Presentation is a tool best used for sharing information in meetings or explaining something to a large group. With presentation, someone can manipulate the effects, change colors and font sizes to make it appealing, and run a slideshow on a timer or with a remote from a projector. For example, most seminars use presentations developed by the user to share information that a class or group of workers are learning. Database is wonderful for keeping track of binary numbers and data in a system database. Data warehousing, E-commerce, web and application development are some basic examples of how to use the database system.
When it comes to advantages and disadvantages of word, there are a couple. One advantage of word is how user friendly it is, and it can be used offline to edit documents on the go without internet. One disadvantage is the cost of Microsoft office to be able to use these tools. Also, sometimes the compatibility when downloading to a computer will not load the same format. There are many advantages to excel, it is wonderful for data analysis and keeping track of mathematical functions throughout various columns, sections, and rows. One disadvantage is how difficult it can be to learn it and become an expert at using excel. The biggest advantage of using presentations like PowerPoint is being able to deliver a visual presentation to a large group or class. Also, the slide structure can be automatically played or played with a remote. The disadvantage is that it can have a basic design consistency. Most of the slides will be like other presentations unless personally designed, which can take time. Also, the file size can be quite large. The advantage of database is how well someone can organize and manage the data efficiently. Also, it has great security and data integrity. The disadvantage can be performance issue and troubleshooting when flooding the database with more than it can have. Also, it can be tough to learn how to use a database correctly.
The most appropriate software to document a day is an excel spreadsheet. According to Ali, S. I., & Fitzpatrick, B. D. (2022), Microsoft Excel skills are imperative in today's competitive market and the skill is highly demanded by businesses. I was able to define what activities I did in a day, the time spent doing those activities, the average time on each activity, and include a pie chart to visually see the time and activities. One example where a word processor would be useful is typing a letter to a landlord or HOA and using a printed header with someone's information. Another useful scenario for excel would be calculating how much flow of product a plant created in 24 hours and analyzing that time/flow with the weather outside. A presentation could be useful for presenting to a remote group with a raise-hand function for the presenter to answer questions. According to Volf, I. (2021), with the concept presented, a raise hand function was implemented where questions from the auditorium are clearly displayed to the lecturer with minimal time latency. Database could be used to create a program to keep track of how many times a unit is calibrated and if it is within specification or not.
Without these useful tools, companies, schools, and individuals would have to take a lot of hours to complete work that this software can complete within seconds or minutes. Another advantage of these tools is when someone creates a spreadsheet or presentation, it can be copied and manipulated to do similar jobs without having to start from nothing each time. The tools will even offer generic templates to carry this out as well. Many companies would not be able to do their daily tasks without these applications and we are fortunate to have them. While each application is different from each other and has various uses, I am glad and fortunate that we can rely on them to complete jobs, tasks and crucial functions in our everyday lives.
